Lost sales occur when a customer would purchase a part if you had it in stock, but will go elsewhere to buy it if not. The procedures listed below explain how to record lost sales. Using these procedures will not reduce your inventory count for this part. However the lost sales will be reported on the Parts Pad Summary and will increase the amount the computer wants to order next year at this time.
Record Lost Sales from the Parts Information Screen
1. Access the Parts Information screen and type in the part number.
2. Press SF8 from the Parts Information screen, enter your employee password.
3. Adjust the quantity if you could have lost a sale on more than one.
4. Press Enter. You will be prompted to record a lost sale or to cancel.
Remember - You can press SF8 from Invoicing or Ordering screens to get to the Parts Information screen and do the above.
Point-of-Sale Programs
Create an invoice in any Point-of-Sale program and proceed to the Select Detail Transaction Type screen.
Select Parts on the entry screen.
When the Parts Detail Entry Screen appears, type the part number.
Verify the manufacturer code is correct.
Enter the quantity. On the line item detail screen.
Enter a capital L in the Trans Type column, or press F2 to select the Lost Sale transaction type from the pop-up list.
Complete the invoice, including any parts actually sold, and close it like any other invoice. The sold items will post with your daily invoices, but the lost sales will not post nor will they appear on the printed ticket. However, they will be recorded in history for viewing or using for stock ordering as desired.
You can put normal sales on the same ticket with a lost sale as long as you either leave the TT column blank for a normal sale or enter the appropriate transaction type for each transaction line. Lost sales can be can be part of the formula when running system generated stock orders. |
Record Lost Sales from the Parts Transactions Screen
1. Parts Inventory>>Processing>>Parts Transactions.
2. Prompted to print all transactions entered. Enter your employee password. Type in the parts you wish to record a sales sale against.
3. Enter an "L" in the trans type column and the quantity in the QTY column.
4. Press Enter. You have recorded a lost sale.
